Devices & Provisioning
A phone joins Webex Calling by MAC address or by a 16-digit activation code. A blank MAC in Control Hub generates the code. The code lasts 30 days on an MPP phone and 7 days on a Room device. A professional workspace license holds up to five phones. A common-area workspace holds one.
01 · Executive summary
Five lines, then why it matters
- MPP firmware 11.3.1 SR2 or later is required to enter an activation code on the phone. The phone reboots and onboards after the code is entered. [cite:1]
- CSV device type IP is for MPP, ATA, and DECT. WEBEX or WEBEX_CALLING is for RoomOS workspaces. The article’s example MAC is 001A2B3C4D5E. [cite:1]
- A workspace device is assigned to the workspace, not to a user. Add it from Management > Devices > Add device, or from Management > Workspaces. [cite:3]
- Calling service choices for a Board, Desk, or Room workspace include None, Call on Webex (1:1, non-PSTN, the default), Cisco Webex Calling, premises calling, and legacy Hybrid Calling. [cite:3]
- Only specific roles can generate activation codes. The article points at the organization-role article for which roles. Role names stay in T1-R05. [cite:2]

Workspace limits and calling choices
| Rule | Sentence to keep | Cite |
|---|---|---|
| Professional workspace | Up to five Cisco desk phones, Cisco MPP phones, wireless, ATAs, Phone OS, or third-party devices. | [cite:3] |
| Where the extra phones are added | Only from the new workspace page. Turn on Try new Workspaces. A notification blocks you at the maximum. Add Device is disabled at the maximum. | [cite:3] |
| Common area | Only one device. | [cite:3] |
| Assignment | The device belongs to the workspace, not to a user. | [cite:3] |
| Name | A workspace name cannot be longer than 128 characters and cannot contain % # < > / \ or ". | [cite:3] |
| None | No calling service. Used for a standalone Room Navigator, Room USB, or Microsoft Teams Rooms. | [cite:3] |
| Call on Webex | 1:1 call, non-PSTN. Default for Webex App and SIP address calling. | [cite:3] |
| Cisco Webex Calling | Assign a phone number and extension. PSTN may come from a local gateway, a service-provider bundle, or a cloud-connected PSTN provider. | [cite:3] |
| One device type | A single space holds one type of device. Companion Mode is the exception: one Board and one Room Series device. A Room Navigator can be added in standalone mode. | [cite:3] |
| Delete | Deleting a workspace that has an online MPP also deletes the phone and factory-resets it. An offline phone needs a manual factory reset. | [cite:3] |
Code handling
| Fact | Value | Cite |
|---|---|---|
| Length | 16 digits | [cite:2] |
| MPP expiry | 30 days | [cite:2] |
| Room device expiry | 7 days | [cite:2] |
| Delivery | Copy, Email, or Print. You can email a user other than the assignee. | [cite:2] |
| Workspace path | Workspaces, select the workspace, Add Device | [cite:2] |
| User path | Users, select the user, Devices, Add Device | [cite:2] |
| CSV blank MAC | Provide a link, or email the activation code. Workspace mail goes to an admin. User mail goes to the user. | [cite:1] |
| MPP actions | Add, remove, reboot, check activation, new activation code. Apply config or update firmware. | [cite:1] |
| ATA network | Set VLAN, IP address, and subnet mask before activation. | [cite:2] |
Enter the activation code only after the MPP is on firmware 11.3.1 SR2 or later. The phone reboots as part of onboarding. [cite:1]
An ATA’s network settings are fixed once the device activates. Change VLAN, IP address, and subnet mask before you enter the code. [cite:2]
Professional versus common-area calling licenses, and the rule that a professional workspace cannot be downgraded to common area, are in T1-R03. This room uses the device counts from the workspace article.

- MPP Actions already include apply configuration and update firmware. A later room can attach line keys once the phone is online. [cite:1]
- Canon planning: record code expiry beside the device type so a Room device is not left on a 30-day assumption.
- The nightly location resync is the article’s timing for a location change on the workspace. [cite:3]

Oral answers
30 seconds. I claim a phone by MAC or by a 16-digit activation code. MPP codes last 30 days and Room codes last 7. A professional workspace holds five phones. A common-area workspace holds one.
2 minutes. All of the listed devices can use a MAC. The activation-code subset is the 6800, 7800, and 8800 models the September 2026 article names, plus 7832, 8832, 9800, 9821, and 8875. RoomOS uses a code, and the CSV types are WEBEX or WEBEX_CALLING. An MPP needs firmware 11.3.1 SR2 before the code is typed, then it reboots. I can copy, email, or print the code, including to someone who is not the assignee. An ATA gets its VLAN and IP address first, because those settings lock after activation. If the room needs PSTN I choose Cisco Webex Calling, not the default Call on Webex service.
30 seconds, delete. Deleting a workspace factory-resets an online MPP and returns it to the code screen. An offline phone needs a manual reset.
2 minutes, what I will not merge. I will not put a second device type in one space unless Companion Mode or a standalone Room Navigator applies. I will not promise PSTN on Call on Webex. I will not generate a code with a role the organization-role article does not allow. Migration licenses from Enterprise firmware are a different article.
What you will say about the nightly job. The workspace article says the location is updated during the nightly resync.
